SeatTime Privacy Policy

1. Who we are and what this policy covers
This policy applies to SeatTime ("we," "us," or "our"). This policy explains how we handle personal information when you visit our website, create an account, use SeatTime, make a payment, or contact us. Questions and privacy requests go to hello@getmoreseattime.com.
SeatTime is a deliberate-practice simulator for adults in graduate training or post-graduate practice in counseling, social work, marriage and family therapy, and related fields. A clip is a short practice scenario; a rep is your attempt at that scenario. Clients are fictional, and the coach is automated. SeatTime is not therapy, clinical advice, supervision, or a replacement for practicum or field hours. Using it creates no clinical, supervisory, or credit-bearing relationship.
2. Keep real-client material out of SeatTime
Use only fictional material in practice. Never enter real client, patient, or student identifiers, or material from an actual session. This includes names, contact details, record numbers, recordings, transcripts, case notes, and descriptions that could identify someone from their circumstances. Changing a name, removing obvious identifiers, or obtaining someone's permission does not make real-session material acceptable in SeatTime.
Provide your own email and optional name or program only in the designated account fields. Do not put your own sensitive personal information into a rep or use SeatTime to seek help for your own health concerns.
SeatTime uses automated screening intended to flag prohibited material. Screening can miss information or flag harmless text. Screening is not a guarantee of confidentiality, successful de-identification, or prevention of transmission to a service provider. You remain responsible for what you submit. Submitting prohibited material violates our Terms of Service; it does not excuse us from our own legal obligations.
If you submit real-person material by mistake, stop and request deletion of the affected rep by contacting hello@getmoreseattime.com without repeating the sensitive details. Follow your program's or placement site's incident-reporting procedures. Deletion cannot undo a disclosure that has already occurred.
Reps are records of fictional exercises, not medical records documenting care provided to a real person. SeatTime is not a patient portal or a system for storing protected health information (PHI). Do not treat it as a HIPAA-compliant place to put PHI. Information submitted improperly does not lose any legal protection merely because these rules prohibit it.
3. Information we collect and why
We collect information you provide, information generated during your use of SeatTime, and information supplied by the services you use to sign in or pay.

Stripe collects payment details directly through its payment service. SeatTime does not store full payment-card numbers. When you choose Google sign-in, we request basic identity, profile, and email permissions (openid, profile, and email). We receive your Google account identifier, email and verification status, name, and profile image when supplied. We store account/profile information and the authentication tokens and related records supplied for sign-in. This sign-in integration does not request access to Gmail messages or Google Drive files.
We also use the information necessary to enforce our Terms, prevent misuse, comply with legal obligations, and handle disputes. Product-usage analysis does not make account-linked events anonymous. Fictional subject matter does not make a student's transcript or coach feedback nonpersonal information.
AI processing and model training
We use xAI's Grok API to generate fictional-client replies and automated coach feedback. We may also use OpenAI's API or Anthropic's Claude API as we add or change supported models. Those additional providers receive practice content only when their services are enabled and used. The selected provider processes scenario instructions, relevant practice messages, and generated replies or feedback to deliver the requested feature. We may send these requests directly or through OpenRouter, an API routing service. When OpenRouter is used, both OpenRouter and the provider serving the selected model process the request. The serving provider may differ from the model developer; routing and fallback settings determine which endpoint receives it.
We do not use student practice transcripts to train or fine-tune our own models. Generating a response is different from training a model. Provider training, safety review, storage, and retention depend on the applicable business agreement, model, feature, and account settings. Section 6 summarizes the providers' published API retention policies. Do not assume that practice content is anonymous, immediately erased, or never accessible to authorized provider personnel.
4. Who receives information
We use or may enable the following services to operate SeatTime, as indicated below. They receive information needed for the functions described here, subject to applicable agreements and law.

Google and Stripe also have their own privacy notices for activities they perform independently, such as operating their accounts or meeting their own legal obligations. This policy explains SeatTime's handling of information; it does not replace those notices.
Access by the operator and authorized personnel is limited to what is needed to operate and secure SeatTime, investigate a problem or reported violation, respond to support, or meet legal obligations. We do not promise that no human can ever access a rep.
We do not provide your reps or coach feedback to a school, instructor, supervisor, or employer for review or evaluation. You choose whether to export and share them yourself. Using a school email or entering a program name does not give that organization access. Once you share an export, the recipient controls its copy. Legally required disclosures remain subject to the next paragraph.
We may disclose information when reasonably necessary to comply with a legal obligation or valid legal process, address fraud or security threats, or protect lawful rights and safety. In a business transfer, relevant information may be transferred with the service, subject to applicable law and the protections in this policy; a transfer does not authorize unrelated new uses without any required notice or consent.
We do not sell personal information or share it for cross-context behavioral advertising. We do not use personal information for targeted advertising across other companies' services. Necessary disclosures to service providers are described above.
5. Cookies, campaign links, and analytics
SeatTime uses essential cookies or similar browser storage for sign-in and security. Blocking that storage may prevent account features from working. Optional product analytics does not use analytics cookies, and we do not place advertising pixels on SeatTime.
Landing links may contain UTM campaign labels so we can understand which campaign led to a visit or sign-up. Those labels and usage events may be associated with an account; “cookie-free” does not necessarily mean anonymous.
Third-party sign-in and payment services may use their own cookies or similar technologies when you interact with them.
TODO — confirm and disclose the site's response to browser Do Not Track signals, its treatment of legally recognized opt-out signals such as Global Privacy Control, and whether any embedded third party collects activity across sites. The absence of advertising pixels alone does not establish that all third-party tracking is absent.
6. Retention and deletion
We determine retention periods based on the type and sensitivity of the information, the purposes described in this policy, our relationship with you, operational needs, and applicable legal requirements. We do not apply a single fixed retention period to all information or automatically delete all records solely because an account is inactive or a subscription is canceled.

We may retain information after account closure where reasonably necessary for the purposes above or otherwise required or permitted by applicable law. When information is no longer needed, we delete or de-identify it. We may retain aggregated or de-identified information that no longer identifies you for longer, subject to applicable law. These criteria do not permit unrelated new uses of identifiable practice transcripts or override applicable deletion rights or our no-training commitment.
AI-provider retention
The following summarizes published API policies checked on September 19, 2026. These are provider policies, not a promise that every request uses the same retention setting or that SeatTime has zero-data-retention arrangements.

When requests pass through OpenRouter, the serving endpoint's policies and the applicable agreements and routing settings also apply. Direct-provider defaults above do not establish the retention of every endpoint available through OpenRouter.
We cannot delete copies you export and give to someone else. Records retained for a legal or security exception remain limited to that purpose.
7. Your choices and privacy rights
You can download your account data or delete your account under Settings → Your data. To request deletion of an individual rep, email hello@getmoreseattime.com. You can also contact hello@getmoreseattime.com to request access, a copy, correction, or deletion of your personal information. Do not include sensitive practice content in your request.
Canceling a subscription stops future renewal charges but does not itself delete your practice history. Deleting an individual rep does not cancel your subscription. Cancel any paid subscription through Settings → Billing → Manage in Stripe before deleting your account, or email us for help with cancellation and deletion. Account deletion is not a substitute for subscription cancellation. Data deletion follows Section 6. The Terms explain refunds and the effect on paid access.
Depending on your location and whether the relevant law applies to SeatTime, you may have rights to know what personal information we collect, its sources, purposes, and recipients; access or obtain a portable copy; correct inaccurate information; delete information; and opt out of sale, advertising-related sharing, or targeted advertising. California law may also provide a right to limit certain uses of sensitive personal information. We do not use sensitive information to infer your health or other sensitive personal characteristics for advertising.
We will not discriminate against you for exercising applicable privacy rights. Deleting information needed for an account can prevent us from continuing to provide that account; it is not a penalty.
We may verify your identity or an authorized agent's authority before providing account information or carrying out a deletion. We request only information reasonably needed for verification. We do not require identity verification for an opt-out where law prohibits that requirement.
We respond within the period required by applicable law, including the California 45-calendar-day response period where it applies. If a lawful extension is needed, we will explain it. If we deny a request, we will explain the reason and any available appeal. You may send an appeal to hello@getmoreseattime.com with “Privacy appeal” in the subject, and contact the appropriate state privacy regulator or attorney general.
Service emails include sign-in, billing, security, and support messages. If we send optional marketing emails, you can unsubscribe using their link or by emailing us. Opting out of marketing does not stop necessary service messages.
8. Security and processing locations
We use reasonable administrative and technical safeguards appropriate to the information we handle, including limits on access. No online service can guarantee complete security. Protect your email account, Google account if used, and sign-in links; report suspected unauthorized access to hello@getmoreseattime.com.
SeatTime uses Vercel for application hosting and North American infrastructure. Service providers may process information in the United States and other countries where they or their subprocessors operate; North American hosting does not mean every provider processes information exclusively in North America. Processing in another country may be subject to different laws. Where transfer protections are legally required, we must put them in place; using SeatTime is not a blanket waiver of those protections.
9. Adults only
SeatTime is for people 18 or older. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe an underage person has provided information, contact hello@getmoreseattime.com. We will investigate, close an ineligible account, and delete the information as required by law. We do not offer a parental-consent route for underage use.
10. Changes to this policy
We may update this policy from time to time by posting a revised version here and updating its effective date. Changes take effect on the date stated in the revised policy, subject to any notice or consent required by applicable law. Where required, we will provide additional notice, such as by email or a prominent notice in the service, and obtain any required consent before a change takes effect. We encourage you to review this page periodically.
An update does not override promises applicable to information already collected or authorize materially different uses without any notice or consent required by law.
