For coordinators
Cohort kickoff guide
SeatTime is extra between-class practice with fictional clients and AI-generated feedback. It is not therapy, not grading, not competency assessment, and not a substitute for practicum, internship, or supervised hours. Practice does not count toward those hours. Reviewed by a licensed counselor (LPC).
Before week 1
- Confirm the cohort term (start and end dates) and the seat count with SeatTime.
- Share the access code with enrolled trainees only. Each code has a seat limit. A learner redeems it once, at signup or later in Settings.
- Point trainees at the free demo first if they want a look. The demo needs no account.
- Tell trainees not to enter real client information. Clients in SeatTime are fictional composites.
Coordinators do not receive transcripts or per-student feedback. The group report shows weekly counts only: active learners, sessions, and scenarios used.
What to tell trainees
- Create an account with their school email and enter the access code. They can also add the code later in Settings.
- Access lasts through the cohort end date. After that, they keep a free account (3 scenarios) unless they choose the $15/month individual plan.
- Use is voluntary. Daily fair-use and shared capacity limits apply; responses and feedback may pause when a limit is reached.
- Feedback is AI. It can be wrong. It is not a grade and not a measure of readiness.
- They decide what, if anything, to bring to class or supervision. A PDF export is available from a completed conversation if they want to discuss a moment.
Suggested weekly practice
About 20–30 minutes. These are suggestions, not assignments and not a curriculum replacement. Skip or swap weeks. Three short sessions beat one long one.
| Week | Focus | Why this week |
|---|---|---|
| 1 | One foundations scenario (attending or a simple reflection) | Learn the loop: say it, read the feedback, try again. |
| 2 | Reflection of feeling, then one open question | Stay with affect before gathering facts. |
| 3 | A silence or “I don’t know” moment | Practice not filling the gap. |
| 4 | Motivational interviewing / ambivalence | Reflect both sides; don’t push a plan. |
| 5 | A harder moment they expect in practicum prep | Rewind once; try a different response. |
| 6 | Broaching or a cultural / identity moment (if they choose it) | Notice pace and permission. |
| 7 | Repeat a scenario that felt unsteady | Same client, different words. |
| 8 | One scenario they pick, then decide what to bring to supervision | Close the term; no report on readiness. |
During the term
- You can open the group usage report. It never lists students, transcripts, or feedback.
- If a trainee's code fails: the cohort may be full, not yet started, or already ended. Ask SeatTime to check the seat count — do not share another cohort's code.
- Seats are named. Reassignment is only when a person leaves the program, and only through SeatTime.
After the pilot
If you want to continue, an annual program license is $90 per seat per year (25-seat minimum). Sign within 60 days of the pilot end and the full pilot fee is credited toward the first year. The license year runs from the pilot start date, so 25 seats cost $2,250 total. Conversion must include every named pilot learner. There is no access between pilot expiry and a later conversion.
If you do not continue, you are done. We will not send individual performance notes.
